Destiel Conflict of Interest Policy

This Conflict of Interest Policy ("Policy") is established to ensure that all decisions and actions taken by volunteers at Destiel are made in the best interests of the Organization and its mission, free from any conflicts of interest.

1. Purpose

To provide guidelines for identifying and managing conflicts of interest to protect the integrity of Destiel's operations and maintain public trust.

2. Scope

This Policy applies to all volunteers, staff, and board members of Destiel.

3. Definition of Conflict of Interest

A conflict of interest arises when a volunteer's personal, professional, or financial interests may interfere with or appear to interfere with their ability to act in the best interests of Destiel. This includes, but is not limited to:

  • Personal gain from decisions made in their capacity as a volunteer.
  • Relationships that could influence their impartiality or objectivity.
  • Financial interests in transactions involving Destiel.

4. Responsibilities

Organization Responsibilities

  • Provide training and guidance on identifying and managing conflicts of interest.
  • Maintain a record of disclosed conflicts and the actions taken to address them.
  • Ensure transparency and accountability in all operations.

Volunteer Responsibilities

  • Disclose any actual, potential, or perceived conflicts of interest to their supervisor as soon as they arise.
  • Avoid participating in decisions or actions that could be influenced by a conflict of interest.
  • Act in the best interests of Destiel at all times.

5. Disclosure of Conflicts

Initial Disclosure

  • Volunteers must disclose any potential conflicts of interest when they begin their service with Destiel.

Ongoing Disclosure

  • Volunteers must promptly disclose any new conflicts of interest that arise during their term of service.
  • Disclosures should be made in writing to the volunteer’s supervisor or the designated compliance officer.

6. Management of Conflicts

Evaluation

  • The supervisor or designated compliance officer will evaluate disclosed conflicts of interest to determine their significance and potential impact on the Organization.
  • A determination will be made on the appropriate action to mitigate or eliminate the conflict.

Actions to Mitigate Conflicts

  • Volunteers may be recused from participating in decisions or actions related to the conflict.
  • Additional oversight or review processes may be implemented to ensure impartiality.
  • In some cases, the volunteer may be reassigned to different duties or responsibilities.

7. Record Keeping

All disclosures and actions taken to manage conflicts of interest will be documented and maintained by the Organization.

8. Non-Compliance

  • Non-compliance with this Policy may result in disciplinary action up to and including termination of volunteer service.
  • The Organization may terminate the agreement if the Volunteer breaches any terms of this Policy.

9. Review and Updates

This Policy will be reviewed periodically and updated as necessary to ensure its effectiveness.

10. Acknowledgment and Acceptance

By signing below, the Volunteer acknowledges that they have read, understood, and agree to adhere to the terms and conditions outlined in this Conflict of Interest Policy.
