Destiel Disciplinary Action Policy

Purpose

The Disciplinary Action Policy aims to outline the procedures for addressing volunteer behavior and performance issues that do not meet the standards of Destiel. This policy ensures that all volunteers are treated fairly and consistently while maintaining a productive and respectful environment.

Scope

This policy applies to all volunteers at Destiel.

Grounds for Disciplinary Action

Volunteers may be subject to disciplinary action for the following reasons, including but not limited to:

  • Failure to perform assigned tasks satisfactorily.
  • Repeated unexcused absences or chronic lateness.
  • Non-compliance with organizational policies, including but not limited to the Code of Conduct, Confidentiality Agreement, Intellectual Property Agreement, and Timesheet Policy.
  • Unauthorized changes to login credentials or misuse of online subscriptions and shared accounts provided by the Organization.
  • Unethical behavior or engagement in activities deemed harmful to the Organization or its members.
  • Breach of confidentiality or disclosure of confidential information.
  • Failure to submit daily timesheets accurately reflecting tasks performed.
  • Inaccurate or falsified timesheet entries.
  • Failure to accurately clock in and clock out.
  • Not listing tasks in detail on timesheet as required.

Disciplinary Action Procedure

1. Initial Warning

Verbal Warning: The volunteer will receive a written warning outlining the specific issues and expected improvements. The volunteer’s supervisor will document this warning.

Performance Review: A performance review meeting will be conducted to discuss the issues and provide the volunteer with an opportunity to respond. An improvement plan may be established with specific goals and timelines for addressing the issues.

2. Written Warning

Written Warning: If the issues persist, the volunteer will receive a written warning detailing the consequences of continued non-compliance. This warning will be placed in the volunteer’s file.

Performance Review Meeting: Another performance review meeting will be scheduled to reassess the volunteer’s ability to meet the organization’s standards. An updated improvement plan may be established.

3. Final Warning

Final Written Warning: If the issues are not resolved, the volunteer will receive a final written warning, indicating that further non-compliance will result in termination.

Last Performance Review: A final performance review meeting will be conducted to give the volunteer one last opportunity to address the issues.

4. Termination

Termination Notice: If the issues remain unresolved, the volunteer will receive a termination notice. The notice will include the reasons for termination and the effective date.

Exit Interview: An exit interview may be conducted to gather feedback and provide closure for both the volunteer and the Organization.

Return of Property: The volunteer must return all organizational property, including confidential documents, materials, and access credentials for online subscriptions and shared accounts.

Immediate Termination

Immediate termination may occur in cases of severe misconduct, including but not limited to:

  • Gross misconduct or unethical behavior.
  • Serious breaches of confidentiality.
  • Actions that endanger the safety or well-being of others.
  • Theft or fraudulent activities.

Post-Departure Accountability

Volunteers are expected to cease using and return access to any provided accounts upon termination or completion of their volunteer role, or upon request by the Organization.
Unauthorized use or changes to account credentials after departure will result in legal actions, including restitution and potential criminal charges.

Monitoring and Compliance

All activity across Destiel.org and Office 365 is monitored to ensure compliance with organizational policies.
Supervisors will review timesheet entries and performance regularly to ensure adherence to this policy.

By signing below, the volunteer acknowledges that they have read, understood, and agree to adhere to the terms and conditions outlined in this Disciplinary Action Policy.
