Destiel Non-Responsiveness Communication Procedure

This procedure outlines the steps to be taken when a volunteer is non-responsive to communications from Destiel. The goal is to ensure clear communication and maintain accountability within the organization.

1. Initial Contact

If a volunteer is non-responsive to communications (e.g., emails, Teams messages, phone calls) for three consecutive days, the following steps will be taken:

  • Day 1: Send a Teams message to the volunteer reminding them of the need to respond.
  • Day 2: Send an email to the volunteer's Destiel email address requesting a response.
  • Day 3: Send an email to the volunteer's personal email address requesting a response.

2. Escalation

If there is no response after the initial contact steps, the following escalation steps will be taken:

  • Day 4: Attempt to contact the volunteer via phone call.
  • Day 5: Send a final notice email to both the Destiel and personal email addresses, indicating that failure to respond will result in further action.

3. Final Steps

If the volunteer remains non-responsive after the escalation steps, the following actions will be taken:

  • Day 6: Notify the volunteer's supervisor and document the non-responsiveness in the volunteer's record.
  • Day 7: If there is still no response, initiate the termination procedure as outlined in the Termination Policy.

4. Documentation

All attempts to contact the volunteer and their responses (or lack thereof) will be documented and stored in the volunteer's record. This includes:

  • Dates and times of all communications
  • Methods of communication used
  • Copies of messages sent
  • Responses received (if any)

5. VVS and Last Active Day

The Volunteer Verification System (VVS) will reflect negatively on the volunteer's record. The volunteer's last active day of service will be recorded as the date of their most recent timesheet entry.

6. Acknowledgment

By signing below, the volunteer acknowledges that they have read, understood, and agree to adhere to the Non-Responsiveness Communication Procedure.
