Destiel Termination Policy

This Termination Policy outlines the procedures and conditions under which the volunteer service with Destiel may be terminated. This policy ensures a clear and fair process for handling terminations and maintaining organizational standards.

1. Purpose

The purpose of this policy is to provide guidelines for the termination of volunteer services, ensuring that all terminations are handled consistently and fairly.

2. Scope

This policy applies to all volunteers of Destiel.

3. Grounds for Termination

Performance Issues:

  • Failure to perform assigned tasks satisfactorily.
  • Inadequate completion of responsibilities as outlined in the Volunteer Agreement and Role Descriptions.

Attendance and Punctuality:

  • Repeated unexcused absences from scheduled meetings and sessions.
  • Chronic lateness or failure to notify supervisors of absences in advance.

Non-Compliance with Policies:

  • Breach of the Code of Conduct, Confidentiality Agreement, or any other organizational policy.
  • Misuse or unauthorized use of Destiel's technology and resources.

Confidentiality Breaches:

  • Unauthorized access, disclosure, or misuse of confidential information.
  • Failure to adhere to the Confidentiality Agreement and Non-Disclosure Agreement (NDA).

Unethical Behavior:

  • Engagement in activities that are deemed unethical or harmful to the organization or its members.
  • Conflicts of interest or use of position for personal gain.

Non-Responsiveness and Inactivity:

  • Failure to respond to organizational communications, including emails, Microsoft Teams messages, and phone calls.
  • Lack of participation in required activities and events.
  • Not meeting the agreed minimum hours of volunteer commitment.

Timesheet System:

  • Failure to submit daily timesheets accurately reflecting tasks performed.
  • Inaccurate or falsified timesheet entries.
  • Failure to accurately clock in and clock out.
  • Not listing tasks in detail as required.

Intellectual Property Violations:

  • Unauthorized use or claiming of Destiel's intellectual property.
  • Non-compliance with the Intellectual Property Agreement.

Use of Online Subscriptions and Shared Accounts:

  • Unauthorized changes to login credentials or account settings.
  • Misuse of online subscriptions and shared accounts provided by the organization.

Violation of Technology and Resource Usage Policy:

  • Any misuse or unauthorized use of technology and resources.
  • Non-compliance with the Technology and Resource Usage Policy.

4. Termination Procedure

Initial Warning:

  • The volunteer will receive a written warning outlining the specific issues and the expected improvements.

Performance Review:

  • A performance review meeting will be conducted to discuss the issues and provide the volunteer with an opportunity to respond.
  • An improvement plan may be established, with specific goals and timelines for addressing the issues.

Final Warning:

  • If the issues persist, the volunteer will receive a final written warning detailing the consequences of continued non-compliance.

Termination Notice:

  • If the issues are not resolved, a termination notice will be issued. The notice will include the reasons for termination and the effective date.

Exit Interview:

  • An exit interview may be conducted to gather feedback and provide closure for both the volunteer and the organization.

5. Immediate Termination

Immediate termination may occur in cases of severe misconduct, including but not limited to:

  • Gross misconduct or unethical behavior.
  • Serious breaches of confidentiality.
  • Actions that endanger the safety or well-being of others.
  • Theft or fraudulent activities.

6. Return of Property

Upon termination, the volunteer must return all organizational property, including:

  • Confidential documents and materials.
  • Access credentials for online subscriptions and shared accounts.
  • Any other resources or equipment provided by Destiel.

7. Post-Departure Accountability

Volunteers are expected to cease using and return access to any provided accounts upon termination or completion of their volunteer role, or upon request by the organization.
Unauthorized use or changes to account credentials after departure will result in legal actions, including restitution and potential criminal charges.

8. Volunteer Verification System (VVS) Impact

Volunteers that are terminated will have their status reflect negatively in the Volunteer Verification System (VVS).
The VVS will record the feedback status, which will affect future verification inquiries and references for the volunteer.

9. Acknowledgment and Acceptance

By signing below, the volunteer acknowledges that they have read, understood, and agree to adhere to the terms and conditions outlined in this Termination Policy.
