Destiel Volunteer Agreement

This Volunteer Agreement is made between Destiel (the "Organization") and the undersigned volunteer (the "Volunteer"). This agreement outlines the terms and conditions of the Volunteer's service with the Organization.

2. Term of Service

The term of this agreement begins on the date of signing and continues until terminated by either party.

3. Probationary Period

The Volunteer will undergo a probationary period of 60 days starting from the date of signing this agreement. During this period, the Volunteer's performance and suitability for the role will be assessed. At the end of the probationary period, a performance review will be conducted to determine if the Volunteer will be confirmed in their role. Refer to the Performance Review Form for details.

4. Roles and Responsibilities

Volunteer Roles:

  • Support Group Facilitator: Facilitate support group sessions for LGBTQ+ individuals.
  • Event Coordinator: Plan and organize events to promote community engagement.
  • Mentorship Program Assistant: Support the mentorship program by coordinating mentor-mentee relationships.
  • Additional Roles: As needed, other roles may be assigned based on the Organization's requirements.

Volunteer Responsibilities:

  • Participate in orientation and training sessions (refer to the Orientation Checklist).
  • Adhere to Destiel’s Code of Conduct and policies.
  • Perform assigned tasks to the best of your ability.
  • Maintain confidentiality of all sensitive information (refer to the Confidentiality Agreement).
  • Communicate regularly with your supervisor.
  • Report any issues, concerns, or conflicts to your supervisor immediately.
  • Uphold the mission, vision, and values of Destiel in all activities.
  • Use the timesheet system to clock in and clock out daily and to note in detail the tasks performed each day (refer to the Timesheet Usage Guidelines).
  • Use Microsoft Teams for all organizational communications and collaborations.
  • Store all files and documents related to Destiel’s operations on SharePoint.

5. Organization's Responsibilities

Provide necessary training and resources to enable volunteers to fulfill their roles effectively.
Ensure a safe, inclusive, and supportive environment for all volunteers.
Offer ongoing support, supervision, and feedback to volunteers.
Recognize and appreciate the contributions of volunteers (refer to the Volunteer Recognition Program).
Provide opportunities for volunteer development and growth (refer to the Professional Development Form).

6. Volunteer Status

The Volunteer understands and agrees that their role is unpaid and that they will not receive any monetary compensation, benefits, or reimbursements for their service.

7. Confidentiality

The Volunteer agrees to maintain the confidentiality of all information and materials they are exposed to during their service, both during and after their term of service. This includes, but is not limited to:

  • Personal information of members, staff, and other volunteers.
  • Internal documents, reports, and communications of the Organization.
  • Financial information, business plans, and strategies of the Organization.

8. Health and Safety

The Volunteer agrees to comply with the Organization's Health and Safety Policy to ensure a safe working environment. This includes:

  • Following all safety procedures and guidelines.
  • Reporting any hazards or safety concerns to their supervisor.
  • Taking reasonable care of their own health and safety as well as that of others.

9. Conflict of Interest

The Volunteer must avoid conflicts of interest and disclose any potential conflicts to their supervisor. This includes:

  • Not using their position for personal gain.
  • Disclosing any personal relationships that may influence their volunteer duties.

10. Media and Publicity

The Volunteer grants permission to Destiel to use their name, likeness, and any photos or videos taken during their service for promotional and marketing purposes. This includes, but is not limited to, social media, website, newsletters, and other marketing materials. Refer to the Media Release Form for consent details.

11. Timesheet System

The Volunteer is required to use the timesheet system to clock in and clock out daily and to note in detail the tasks performed each day. This information helps us track contributions and ensure accurate verification. Refer to the Timesheet Usage Guidelines and Timesheet Policy for detailed instructions.

Modify Timesheet Request: If a volunteer forgets to log a task, they can submit a "Modify Timesheet Request" to their supervisor. The request should include the date and time of the task, a description of the task performed, and an explanation for the omission. Supervisors will review the request and make the necessary corrections if the claim is verified.

12. Volunteer Verification System (VVS)

The Volunteer agrees to have their information included in the Volunteer Verification System (VVS) as a condition of their service. This includes their name, email address (if necessary), start date, departure date (if applicable), feedback status, current status, and total hours contributed. Refer to the Volunteer Verification Consent Form and VVS Overview for more details.

13. Intellectual Property

The Volunteer agrees that any materials, content, or other intellectual property they create in the course of their service are the property of Destiel. This includes, but is not limited to, written content, graphics, designs, and any other work product. Refer to the Intellectual Property Agreement for detailed guidelines.

14. Use of Online Subscriptions and Shared Accounts

As part of your role, you may be provided with access to online subscriptions and shared accounts necessary for performing your duties. By accepting this access, you agree to the following terms:

  • Authorized Use Only: Use the provided accounts solely for purposes related to your volunteer activities with Destiel.
  • No Unauthorized Changes: Do not change the login credentials, email address, or any account settings.
  • Account Security: Maintain the security of the account and do not share login credentials with unauthorized persons.
  • Return and Revocation: Cease using and return access to any provided accounts upon termination or completion of your volunteer role, or upon request by the organization.
  • Compliance: Comply with all terms and conditions set forth by the service providers of the online subscriptions.
  • Post-Departure Accountability: Unauthorized use or changes to account credentials after departure will result in legal actions, including restitution and potential criminal charges.

15. Termination

This agreement may be terminated by either party at any time, with or without cause. The Volunteer agrees to provide notice of termination to their supervisor. The Organization may terminate the agreement if the Volunteer breaches any terms of this agreement, including the Code of Conduct and Confidentiality Agreement. Refer to the Volunteer Termination Policy for detailed procedures.

16. Liability

The Volunteer acknowledges that their service is voluntary and that the Organization is not liable for any injuries or damages sustained during their term of service. Refer to the Liability Waiver for more information.

17. Non-Disclosure Agreement (NDA)

The Volunteer agrees to sign and adhere to the Organization's Non-Disclosure Agreement (NDA) protecting any confidential information encountered during their service.

18. Acknowledgment and Acceptance

By signing below, the Volunteer acknowledges that they have read, understood, and agree to the terms and conditions of this Volunteer Agreement and all referenced policies and forms.
